Job Summary
Responsibility for monitoring and assuring adherence to the expected IT Procurement cycle, from request to actual spend analysis.
Responsibilities
- Responsible for day-to-day administration of internal and external procurement requests within established service levels
- Maintains request status and provides updates within IT Service Management (ITSM) system of activities performed
- Prepares and submits requisitions for purchase orders of hardware, software, and subscriptions
- Actively communicates with requestors and stakeholders the status of requests
- Assure compliance with ACCO and IT policies and practices when processing requests
- Gathers the data, performs analysis of trends within the procurement cycle, and presents reports to management
- Maintains the structure and permissions within the repository of IT documentation associated with agreements, licensing, and budgetary matters
- Participates in the development of procedures, policies, and documentation for areas of responsibility
- Creates and maintain detailed IT Procurement process documentation
- Provides recommendations for continuous improvement and best practices
- Track and report monthly on actual versus budget and forecast of spend of capital and expense expenditures to management.
- Participates in IT financial planning activities such as budgets and business unit allocation
- Is capable of working directly with European vendors
- Assists in managing and maintaining a database of IT vendors, contracts, contacts, and renewal dates
- Offers cost-saving recommendations and ensures optimal pricing by consolidating vendors, comparing options, negotiating terms, and managing usage
- Other duties as assigned
Qualifications
- Bachelor’s degree in business or related course of study, or equivalent work experience
- Knowledge and understanding of financial and accounting concepts, such as accruals and amortization
- Proficient in Microsoft 365 applications, including Teams, Outlook, Word, Excel, PowerPoint, Project, Visio, SharePoint, Forms, Power BI, and other modern M365 tools
- Excellent analytical skills
- Demonstrates strong oral, written, and interpersonal communication skills
- Ability to manage multiple projects to completion with limited guidance, and within strict deadlines
- Interface with a variety of customers in a polite, positive, and professional manner and take responsibility for customer satisfaction
- Demonstrated ability to work with team members, as well as alone, always considering the customer experience in all endeavors
- Local candidates only
- English language proficiency required. Fluency in other European languages would be a plus (esp. French, German)
- Experience using SAP and Service Now a plus
